Along with race number and packet pickup, you’ll find hands-on health and fitness exhibits, great bargains on running and fitness gear, sampling, a chance to meet the marathon and half marathon pacers, other race information, and more.   • Move In: 6 a.m.-10:45 a.m.

  • Expo Hours: Friday, April 3: 11 a.m. - 9 p.m.

  • Move-out: Friday, April 3: 9 p.m. - 11 p.m.

Exhibitor Terms and Conditions

  1. All booths must be prepaid before booth set-up.

  2. Booth/display shall be set up by 10:45 AM on Friday, March 27th.

  3. Display shall not exceed beyond the assigned space; disturb the aisles or other exhibits.

  4. Booth shall remain open and be staffed during the Expo hours as stated on the application form.

  5. Booths are to remain open until the close of the Expo (Friday, March 29th, 9 PM) and not dismantled before that time.

  6. Carmel Marathon will assign booths at its discretion. Space assignments are subject to reasonable changes made by Carmel Marathon.

  7. Exhibitor agrees that no refunds will be made to any Exhibitor who fails to occupy their space.

  8. It is mutually agreed that it is the duty and responsibility of each Exhibitor to obtain any necessary government permits.

  9. Carmel Marathon has the right to reject exhibits.

  10. All Exhibitors shall dismantle the booths immediately following the close of the exhibition.

  11. Exhibitor will not exhibit any merchandise or promotional material other than that specified in the application form.

  12. The Exhibitor shall not hand out materials outside of their assigned booth space or in the aisles.

  13. Exhibitors agree that all products that are given away for free at the Expo, shall be pre-approved in advance.

  14. Cooking is not permitted on any carpeted area unless pre-approved by the Expo Coordinator.

  15. Carmel Marathon will hire security to secure materials stored in the exhibition hall during the times the show is not open to the public. Carmel Marathon is not liable for the acts or omissions of the security guards. Exhibitor assumes all responsibility for loss, theft or destruction of goods, or personal injuries to itself, its employees, agents, representatives or visitors and will indemnify and hold harmless Carmel Marathon, its officers, employees, agents, volunteers, contractors, sponsors, runners, patrons, and Expo attendees from all claims arising from any act, omission or negligence of the Expo Exhibitor.

  16. Exhibitor agrees to carry Comprehensive General Liability, Comprehensive Automobile Liability, and worker’s compensation. A Certificate of Insurance with a 30 day notice of cancellation shall be provided to the Carmel Marathon at least thirty (30) days before the exhibit.

  17. Exhibitor agrees not to deface property and agrees to accept liability for any damages to property or others or Carmel High School. Any damage shall be remedied at Exhibitor’s expense and to the satisfaction of the property owner.

  18. In the event of war, fire, terrorist attack, public catastrophe, strike, act of God, civil unrest or other uncontrollable cause, the Expo or any part thereof is prevented from being held, or cancelled, Carmel Marathon shall, in its sole discretion, determine a refund, if any, to be paid to Exhibitors.

  19. Exhibitors shall allow Carmel Marathon to use photographs of the exhibit for its own purpose.

 

Participation Packet Bag Program

The Participant Packet Bag is your opportunity to get your product or information directly into the hands of the participants. The Participant Bag will be distributed to all registered marathon, half marathon, 8K and 5K participants during the expo. More than 5,000 participants are expected. 

All items to be stuffed should fit within certain size specifications. If the item is paper material, the item should be 8.5” x 11” or less. If a product is a sample, please keep within a reasonable size. If you have any questions about a product sample size please email Todd.

The Participant Packet Bag Program requests that one sample of the item be sent for approval. Items must be received by March 27, 2020, to ensure placement within Participant Bags.

The 2020 Participant Guide will be distributed to our 5,000+ participants, volunteers and sponsors. Limited space is available to advertisers in the following page sizes and fees:

  • Full page, four color: $2,500

  • Half page, four color: $1,250
